This thread will serve as a reminder when there are elections going on.

It will be bumped each time there is a election.

You can subscribe to this thread without posting in it. Just click the thread tools at the top and subscribe to it. Then you will get a notification every time there is an election.

Currently there is a special election for the VP as the first election ended in a tie. You will need to vote again, even if you voted in the other election. The poll is open for 1 week.

Starting Nov 1st, we will begin taking nominations for the National Election cycle that begins on Nov 15th.

If you are interested in thinking about running, consider it and make sure you have read the bylaws.

On the National side we will be electing 4 Director-at-large (DAL) BOD positions. These are two year terms. The person that gets the highest number of votes and not is currently a DAL will assume office at the close of the election. The other three will take office on January 1st.

At the end of this post is will be the DAL job description.

Responsibilities of the the Director-at-Large (DAL) will take on duties as needed throughout the course of their term.

The DAL shall contact vendor contacts with the sponsorship program at the direction of the sponsorship coordinator. This includes making contacts and following up with contacts until product is sent to the sponsorship coordinator or the event coordinator. (See yet to be completed sponsorship SOPs)

The DAL shall attempt to make the event that is with in the chapter in which they reside as a representative of ( is not reimbursing for travel expenses).

The DAL must participate in meetings and votes. Meetings run from the 1st of the month to the 14th of the month.

The DAL must be able to look at issues from a non-biased position (as much as possible) and look out for the best outcome for the Club.

The DAL must have a "team" attitude. The BOD is the team. The DAL must be able to work with and be able to compromise with other players on the team.

The DAL must be willing, to be assigned tasks, to look for opportunities to improve the club and willing to grab those opportunities and make the changes.

The DAL must be able to balance life and the club. Understanding that life is more important, there still has to be a dedication to the club.

The DAL must accept an @naxja.org email address to be used with the BOD email. The email can be forwarded to their current email if they so desire.

President
Responsibilities of the the president will take on duties as needed throughout the course of their term. This includes the ability to take on all positions with in the BOD up to and including membership and sponsorship if necessary.
The president is the principle leader of and has overall responsibility for 's administration.
The president shall lead and participate in monthly meetings and participate in votes. Meetings run from the 1st of the month to the 14th of the month.
The president should try to set an agenda 5 days before the start of each meeting each month, and post it in the member's forum in order for the members to add to the agenda as they see fit.
The president shall oversee the elections of the BOD per the bylaws, including special elections, this can be delegated to another BOD member if needed.
The president shall make sure that the chapters are operating within the requirements of the bylaws.
The president shall attempt to make the event that is within the chapter in which they reside at their own expense, unless approved otherwise by the BOD.
The person must be able to look at issues from a non-biased position (as much as possible) and look out for the best outcome for the Club.
The president should have a good working knowledge of the bylaws and how they are applied.
They must have a "team" attitude. The BOD is the team. The president must be able to work with and be able to compromise with other players on the team.
The president must be willing to assign tasks and to look for opportunities to improve the club and be willing to grab those opportunities as they present themselves.
The president must be able to balance life and the club. Understanding that life is more important, there still has to be a dedication to the club.

Vice-president
Responsibilities of the the VP will take on duties as needed throughout the course of their term. This includes but is not limited to backup to the president, back up to the treasurer, and back up to the recorder. Also being a voice for the club in the absence of the president (whether temporary or permanent). The VP will take over as president in the event the president resigns, is removed or recalled from that position.
The VP shall be the leading voice in land use issues with the club. They will head any committees that pertain to land use and moderate any forums on the site that cover land use.
The VP shall attempt to make the event that is within the chapter in which they reside at their own expense, unless approved otherwise by the BOD.
The VP must participate in meetings and votes. Meetings run from the 1st of the month to the 14th of the month.
The VP must be able to look at issues from a non-biased position (as much as possible) and look out for the best outcome for the Club.

Recorder
Records and reports to the Membership, the BOD meeting minutes (see BOD minutes below) so that the previous month is documented and passed in a motion before the end of the current meeting.
Records and reports to the membership motions voted on by the BOD. Then posts the results in the membership news and information forum.
The recorder maintains corporation records and works with the forum admin to make sure corporation records are archived.
The recorder will work with the membership director (or membership team) to make sure that the current roster is posted and updated. The recorder shall keep a copy of the updated roster each month. If membership desires, the recorder may email expired members to remind them to renew.
The recorder shall attempt to make the event that is within the chapter in which they reside at their own expense, unless approved otherwise by the BOD.
The recorder must participate in meetings and votes. Meetings run from the 1st of the month to the 14th of the month.

SOP BOD minutes:
Record the names of those who contributed to the BOD meeting.
Use the current meeting template or create one that communicates the same information as the one currently being used.
Document the BOD meeting for current discussions and business of the BOD.
Document the treasurer's report.
Document the membership's report.
While the recorder is in charge of making sure that all of the above happens in a timely manner, they can delegate to another member of the BOD to assist them in getting these tasks accomplished to help spread the responsibilities.

Treasurer
The treasurer is in control of the club’s money, its collection, and disbursement.
The treasurer is responsible for keeping accurate books that will enable them to give a full financial report each month and whenever requested. The treasurer should do their best to see that everything is done meticulously so that there are no doubts about their integrity.
The treasurer is responsible with filing the taxes and retaining the not for profit status of .
The treasurer is responsible for maintaining the insurance of the club.
The treasurer is responsible for insuring the chapters are running bank accounts appropriately.
The treasurer shall attempt to make the event that is within the chapter in which they reside at their own expense, unless approved otherwise by the BOD.
